The Parts Guest Services Representative will work a rotating schedule based on an every other week of Tuesday – Saturday from 8am – 5pm followed by a Monday – Friday shift from 9am – 6pm.  The Parts Guest Services Representative is primarily responsible for providing the highest level guest service experience while answering the telephones and handling parts sales to all retail guests whether in person, via internet or telephone.


  • Answering telephone calls and providing price quotes via internet and in-person requests
  • Follow-up with guests on special order parts and provide timely notification when they are ready for pickup
  • Pull purchased parts from stock and follow-up with back ordered parts
  • Verify “will call” and “back-order” files
  • Assist in replenishing assigned inventory and promptly notifying management when parts or shop maintenance items are out of stock
  • Handle guest complaints with genuine respect, integrity and poise, and when necessary refer guests to appropriate personnel for resolution
  • Move heavy furniture, equipment, and supplies, either manually or by using hand trucks throughout the dealership, as needed
  • File Repair Orders as directed by service department management
  • Provide the highest level of service to internal and external guests in accordance to company standards
  • Perform other specific administrative functions as directed by management
  • Keep current on new products and product updates
  • Assist in all other areas of the parts department as needed
  • Maintain a professional appearance at all times
  • Maintain high ethical standards in all actions
  • Maintain a high level of grooming, hygiene, and uniform appearance



  • A high school diploma or equivalent
  • A minimum of one (1) year customer service experience in the automotive industry
  • Must have basic knowledge of automotive parts as well as a good understanding of basic mathematical concepts (such as add, subtract, divide, multiply and percentages)
  • Detail oriented, and great follow up skills with internal and external guests
  • Must be able to read and comprehend documents such as safety rules, operating and maintenance instructions as well as procedure manuals in the English language
  • Must have a valid driver’s license and have and maintain an acceptable, safe driving record
