Overview

The Administrative Assistant is responsible for providing high-level administrative support on a daily basis to the dealership.

Responsibilities

  • Assists in the preparation of documents, presentations and reports.
  • Files and retrieves sensitive documents, records, and reports.
  • Compiles, transcribes, and distributes minutes of meetings.
  • Works with and provides information to all levels of management.
  • Coordinates meetings, company luncheons and special projects.
  • Manages calendar and schedule for General Manager
  • Opens, sorts, and distributes incoming correspondence, including faxes and email.
  • Acts as the primary liaison for incoming phone calls.
  • Works with and provides information to all levels of management.
  • Assists in handling and resolving guest grievances.
  • Ability to multitask and thrive in challenging situations that require creativity, drive and commitment.
  • Assists with coordination of events to ensure event success.
  • Maintains inventory of office supplies, business cards, letterhead/envelopes
  • Coordinates travel plans for dealership personnel
  • Act as liaison for charitable requests and coordinate company selected events.
  • Prepare training room and books for Business Review Meetings
  • Assists the dealerships in all other areas and performs other administrative duties as needed.
  • Maintains high ethical standards in all actions.      
  • Maintains professional appearance at all times.

Qualifications

  • A high school diploma or equivalent.
  • Valid California Driver’s License
  • A minimum of two (2) years of administrative experience; proficient in Microsoft Office programs (Word, Excel, PowerPoint).
  • Knowledge of principles and processes for providing customer and personnel services; the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology; and mathematical principles (adding, subtracting, dividing, multiplying, and percentages);
  • Ability to compose, proofread and edit correspondence and other written work; analyze information and situations and follow through with proposed solutions or alternatives, presenting them in a logical manner; coordinate activities with other employees; use good judgment under challenging situations; use discretion to exercise the utmost in confidentiality; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, internet and in person; and use standard office equipment.
  • High degree of self-initiation, organizational skills and problem solving

  • Sit for long periods at a time.
  • Use hands and fingers in repetitive motions, daily.
