The Service Administrator performs a wide range of administrative and office support duties associated with vehicle warranties.

  • Do the right thing.
  • Welcomes guests by greeting them, in person or on the telephone, answering questions or refers inquiries.
  • Completes inventory and orders materials, supplies and services.
  • Compiles, copies, sorts and files records of office activities, business transactions, and other activities.
  • Completes stocks of vehicles for dealership
  • Promptly and accurately, processes guest payments, internal and external repair orders.
  • Determines technicians flagging rate
  • Manages financial and accounting records for the service department and prepares management reports.
  • Processes internal and external claims with labor operations with required information by the manufacturer.
  • Reviews repair orders written for proper completion, accuracy, and legibility.
  • Returns improperly completed repair orders to the person originating the document for correction and/or completion as necessary.
  • Determines and enters the applicable labor operation codes, failure codes, parts stamps and/or other administrative data required and enters them on the repair orders.
  • Interprets and translates service technician’s comments into damage codes/operation codes.
  • Ensures that all correct parts have been charged and if necessary re-priced.
  • Locates damage codes for Warranty repairs.
  • Flaggs the appropriate technician for the hours earned on the operations they performed according to manufacturer policies and procedures.
  • Checks repair orders against the vehicle’s service history to avoid making duplicate.
  • Compiles information and prepares specific reports for the service department daily/weekly/monthly.
  • Assists all other areas of the service department as needed.
  • Reconciles daily deposit and prepare deposit for pickup.
  • Stays a breast on product changes, new products and warranties.
  • Auctions lists (list of available units ready to go to the auction).
  • Scans all sold units checklist and file in folders for future use
  • Prints all drafts for units purchased with check-in sheets for inspection.
  • Assists the Service Department, as needed.
  • Performs other specific administrative functions as directed by management.
  • Assists in all areas of the dealership as needed.
  • Follows all company safety policies, operations and practices.
  • Maintains assigned workplace in an organized and clean manner.
  • Maintains high ethical standards and professional appearance.
  • Maintains high ethical standards in all actions.


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual should possess:  

  • Individual should possess a high school diploma or equivalent;
  • A minimum of one (1) year dealership administration experience;
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records; dealership warranty and administrative policies and procedures; mathematical principles (adding, subtracting, dividing, multiplying, and percentages) and application;
  • Ability to compile, code, categorize, calculate, tabulate, audit, or verify information or data; pay attention to detail; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, internet and in person; and use standard office equipment.
  • Must have a valid driver’s license; have and maintain an acceptable, safe driving record.
