The Pre-Owned Reconditioning Administrator is responsible for a wide range of administrative duties and oversees the pre-owned vehicle reconditioning process.

  • Do the right thing


  • Properly, thoroughly, and legibly writes repair orders for pre-owned vehicles.


  • Sublets all necessary used vehicle repairs and monitors repair with General Manager and Service Director approval.


  • Carefully inspects every finished repair order for proper completion, pricing accuracy, and legibility.


  • Maintains communication with the Service Advisor/Service Manager (Director?), technical staff and vendors regarding job status and changes.


  • Tracks shops workload to determine the kind of work the shop can quickly accommodate.


  • Maintains communication with the Parts department and technical staff regarding job status and changes.


  • Ensures vendor invoices match estimates.


  • Logs and tracks external vehicles being serviced.


  • Communicates with General Manager and Service Director on repair estimates for used vehicles to ensure profitability.


  • Establishes and maintains good working relationships with guests, vendors, and manufacturers.


  • Stays abreast on product changes, new products, and warranties.


  • Assists guest with technical questions, as needed.


  • Performs other specific administrative functions as directed by Pre-Owned Manager.


  • Achieves the productions objectives set by management.


  • Prioritizes all work orders and re-dispatches, as necessary, throughout the day to meet the promise time.


  • Assists in maintaining record and inventory of all vehicles purchased through auctions and those received through trade-ins.


  • Generates reports for inventory with daily updates.


  • Ensures the pre-owned vehicles have the proper notifications (stickers) and manuals displayed on vehicle.


  • Reviews all paperwork from auctions to ensure proper completion and there are no missing documents.


  • May attend auctions to sell trade-in vehicles and purchase used vehicles.


  • Manages the delivery and pick-up of wholesale vehicles.


  • Maintains the pre-owned sales lot in an organized manner and for efficient traffic flow.


  • Prepares daily/month-end reports and spreadsheets.


  • Achieves production objections set by management.


  • Processes internal and external claims with labor operations and all necessary information required in a timely manner to obtain best return for the dealership.


  • Reviews repair orders written for proper completion, accuracy, and legibility according to the applicable policies and procedure manuals.


  • Returns improperly completed repair orders to the team member who originated the document for correction and/or completion, as necessary.


  • Determines and enters the applicable labor operations codes, failure codes, parts stamps, and/or other administrative data required and enter them on the repair orders.


  • Interprets and translates technician’s comments into damage codes/operations codes. 


  • Flags the appropriate technicians for the hours earned on the operations they performed according to manufacturer policies and procedures.


  • Tracks and ensures vendor repair orders are accurate and processed in a timely manner.


  • Ensures certified pre-owned packets are completed correctly and submits to appropriate parties for processing.


  • Maintains high ethical standards and professional appearance.


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual should possess:

  • A high school diploma or equivalent; obtained an AS in mechanical technology or have graduated from automotive vocational school.
  • A minimum of four (4) years as an automotive technician; and one (1) year experience as team leader, desired.
  • Knowledge of machines and tools, including their designs, uses, repair, and maintenance; federal, state, and local regulations, such as those governing the disposal of hazardous waste; and mathematical principles (adding, subtracting, dividing, multiplying, and percentage) and applications.
  • Ability to operate manual transmission; determining causes of operating errors and deciding what to do about it; coordinate activities with other employees and to oversee the work of subordinates; use good judgement in challenging situations; work well with the public; read and interpret documents such as safety rules, operating and English language; and use standard office equipment.
  • Must have a valid driver’s license; have and maintain an acceptable, safe driving record.
