    Summary: The Sales and Operations Administrator role is responsible for answering and routing incoming calls, takes accurate messages, and provides basic information to guests. They are the dealership's front-line contact with the public. They are also responsible for providing high-level administrative support on a daily basis to the dealership.

    Responsibilities

    Essential Duties include the following. Other duties and responsibilities may be assigned.

     

    • Answers, transfers, and provides information to incoming calls.
    • Directs telephone calls to the appropriate parties, as necessary.
    • Communicates with callers in a professional, friendly, and efficient manner.
    • Keeps track of service/sales/management personnel that check in/out of the premises in order to handle phone calls properly.
    • Notifies appropriate parties when guest are waiting.
    • Greets guests entering dealership.
    • Ensure coffee and cold refreshments are replenished and stocked.
    • Maintains inventory of office supplies, business cards, letterhead/envelopes.
    • Coordinate meetings, company luncheons, and special projects.
    • Opens, sorts, and distributes incoming correspondence, including faxes and email.
    • Assists in handling and resolving guest grievances.
    • Coordinates travel plans for dealership personnel.
    • Assists in the preparation of documents, presentations and reports.
    • Coordinates Sales personnel schedules as set forth by Management Team.
    • Prepare training room and books for Business Review Meetings.
    • Add all new hires to appropriate sites/logins.
    • Create new hire badges
    • Maintenance of dealership gas card.
    • Monitor Sales license board for expirations.
    • Maintains office equipment replenished.
    • Edit and publish dealership newsletter on a monthly basis.
    • Manage balloon/helium inventory and restock as necessary.
    • Order and maintain “We Get It” bags for the Sales Team.
    • Run ELead and CarWars reports and communicate any deficiencies to General Manager and Sales Director.
    • Process hand tags during Sales events.
    • Maintain guest satisfaction scores when Guest Relations Associates is unavailable.
    • Performs other administrative duties, as assigned.

    Qualifications

    Qualifications
    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual should possess:

    • A high school diploma or equivalent;
    • A minimum of one (1) year customer service experience and experience using multiple phone lines preferred;
    • Ability to coordinate activities with other employees; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, internet and in person; and use standard office equipment.
