The Contract Clerk is responsible for reviewing new/used vehicle sales contracts for the dealership to ensure proper completion, accuracy and processing as well as submitting payoff checks for traded vehicle.

• Receives and processes new/used contracts from the Finance department.
• Reviews sales documents, such as sales contract, service contracts, guest credit applications and DMV documents to ensure proper completion and accuracy.
• Posts retail and lease finance contracts to appropriate accounting schedules.
• Reconciles and balances designated accounts and reports any discrepancies.
• Monitors all vehicle purchase documents for compliance with all applicable federal, state, and local taxes and fees.
• Prepares documents for submission to financial institutions according to requirements of applicable lender.
• Actively participate in all department meetings as necessary
• Processes trade-ins, voids and unwind deals.
• Process payoff and equity for vehicles acquired.
• Audit Goback deals from prior month to ensure accurate posting in current month
• Assist with daily deposits and scanning of checks to financial institution.
• Maintains an adequate supply of checks and balances on the check writing and authorization procedure ensuring complete accountability and audit trail.
• Complies with federal, state, and company policies, procedures, and regulations.
• Performs general office duties such as filing, answering telephones, and handling routine correspondence.
• Assists the business office and performs other administrative duties, as needed
• Actively participate in all department meetings as necessary
• Provide receptionist coverage on an as needed basis.
• Maintains high ethical standards in all actions. 
• Maintains assigned workspace in an organized and clean manner
• Maintains a professional appearance at all times.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individuals should possess:

• College Degree in Business Administration or comparable desired.
• A minimum of two (2) years administrative experience, desired 
• Excellent verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Effectively able to communicate with guests, team members and other PMG dealerships via email, phone, or in person.
• Ability to prioritize tasks and follow up with pending items in a timely manner.
• Knowledge of basic mathematical concepts and their application
• Knowledge of Microsoft Office (Word, Excel, PowerPoint) proficiency desired
• Knowledge of basic dealership policies and lending institution procedures
