Overview

Longo Toyota of Prosper is looking for a Business Office / Receptionist to join our team!

 

The Business office Clerk/ Receptionist is a dual role engaging with both the business office and guest relation departments. Ideal candidate will be responsible for providing clerical and administrative support, as well as ensuring the highest level of guest satisfaction.

 

*This position is 100% on site at Toyota of Prosper in Prosper , TX.

Responsibilities

  • Performs general office duties such as filing, answering telephones, and handling routine correspondence.
  • Assist business office department with delivery/pick up of documents, and/or other essential items as deemed necessary, to/from different establishments i.e., DMV office, post office. 
  • Assists in all other areas of the business office and performs other administrative duties, as needed.
  • Maintains assigned workspace in an organized and clean manner
  • Always maintains a professional appearance
  • Maintains high ethical standards in all actions
  • Answers, transfers, and provides information to incoming calls, walk-in guests, or vendors.
  • Directs telephone calls to the appropriate parties, as necessary.
  • Communicates with callers, walk-in guests and or vendors in a professional, friendly, and efficient manner.
  • Strives to minimize hold time and abandon rates.
  • Notifies appropriate parties when guests are waiting.
  • Performs other administrative duties, as assigned.
  • Maintains guest’s contact information including but not limited to phone number (s), email, and home addresses.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual must possess:

  • A high school diploma or equivalent
  • A minimum of 1 year customer service experience and experience with multiple phone lines, preferred
  • Ability to coordinate activities with other employees
  • Ability to read and comprehend instruction and information in the English language
  • Pleasant and polite demeanor with the ability to communicate professionally on the telephone, internet and in person, and use standard office equipment
  • Must have a valid driver’s license and have and maintain an acceptable, safe driving record
  • Ability to conduct and oversee needs assessments with well-developed project management skills
  • Must have strong computer and database application skills (Excel, Word, Power-Point, etc.)
  • Strong organizational skills to help manage multiple projects across two department.
  • Ability to maintain the highest expectation of confidentiality.
  • Keen attention to detail.

  • Frequently required to; sit; use hands to finger, handle, or feel; and talk or hear.

  • Work to be conducted primarily in an office environment, however some work may be done in conference rooms, outdoors, and remote via zoom.
  • Use hands and fingers in repetitive motions, daily.
